At monday.com, human resources have always been a priority. For us, the quality of our products is first and foremost a question of people. So, to keep up with demand as we grow, we've set up a system that ensures transparent communication, coordinates our team with various sourcing agencies and maintains a pool of potential candidates at all times.
Our HR team has created and used seven templates that have enabled us to grow our team from 350 to 550 employees over the last 6 months, all while working entirely remotely. We present these templates in this article.
R&D 2020 applicants
This table is the main place where our HR team works. It's the basis for all the other tables we're going to show you. In this table, you can organize each new application, recording the day it entered the process, where it came from, what stage it's at, and so on. Thanks to automations based on status updates within the table, candidates are automatically organized by stage. Once a candidate has passed a certain interview stage, he or she is automatically transferred to the "advanced processes" table.
Advanced processes
The Advanced Process Chart is an indispensable tool for ongoing communication between the hiring manager and the HR team. It allows the recruiter to see the number of candidates at each stage of the process. In the advanced process table, you can organize HR and recruiter feedback by candidate. As we said, recruiters are very busy, so providing them with a constantly updated offline resource makes things much simpler.
R&D source register
To maintain a constant flow of qualified candidates, HR teams sometimes work with dozens of agencies at once. This table lets you organize all this information in one place. For example, you can assign an item to each source, upload the contract in the File column and save all contact details in one place.
R&D candidate database table
The HR team keeps in touch with people who have not yet applied to us, but who have excellent potential. In this table, we group all these applications together to keep them engaged. We use automation to send them invitations to our events or relevant information. With Outlook and Gmail, we can program personalized e-mails for a large number of people.
Weekly recruitment schedule
The weekly HR chart keeps track of important discussion points, action items and resources discussed at weekly meetings. It's a knowledge base and archive that you can easily consult.
Status of new employees
We keep a close eye on the status of new employees to maintain transparency in our hiring process. Even before their start date, recruiters know everything about them: their date of hire, their mentor and their line manager.
The Holy Grail: the HR dashboard
The HR Dashboard gathers data that enables us to identify our strengths, weaknesses and performance. Each initiative is associated with a KPI, which helps us to see where we stand in relation to our objectives. For example, we can track the number of applications in progress, the number of interviews per week, or the average length of the interview process. This dashboard is very useful for HR managers.
